EMAILA ORBIT
Privacy policy
How Emaila Digital Pty Ltd handles information for Emaila Orbit, purchases, support and software licensing. Effective 18 October 2026.
1. Contact and scope
Emaila Digital Pty Ltd operates Emaila Orbit. Our address is 39 Yellowstone Drive, Trugnina VIC 3029, Australia. For privacy questions, access or correction requests, or a complaint, contact ask@emailaorbit.com or +61 468 465 190. This policy covers information handled by our marketplace and licence service. A business using our self-hosted software controls the information it collects from its own customers and should provide its own privacy notice.
2. Information we collect
Information you provide can include your name, email address, organisation, billing details, order and payment references, support messages and product enquiries. Account security uses password hashes and, where enabled, authenticator credentials and recovery codes. Licence operations use product and entitlement identifiers, approved domains, installation public keys, server IP addresses, software versions, licence status and usage limits or aggregate usage needed to enforce the purchased plan. We also handle session, request, device/browser and security-log information needed to operate and protect the service.
3. How information reaches us and why we use it
We collect information when you create or use an account, place an order, contact us, submit a payment reference, or activate and refresh a licensed installation. We use it to supply software access, issue invoices, reconcile received payments, administer licences, answer enquiries, investigate abuse and maintain accounting and security records. You can browse public pages without an account. If required order or installation information is missing, we may be unable to complete the purchase or activation. Do not send customer databases, passwords, private installation keys or sensitive personal records in an ordinary enquiry.
4. Cookies, preferences and optional services
Our website uses session and security cookies and local browser preferences such as theme and display currency. Blocking required cookies can prevent sign-in, form submission or checkout. Country-based display currency is estimated from the request address using a locally bundled IP database; it is not a determination of your tax residence. If Google reCAPTCHA is enabled for staff sign-in, that sign-in page connects to Google for abuse prevention. If an external payment service is offered and you choose it, the provider handles payment information under its own privacy terms. Offline payment does not require you to supply card details to Orbit.
5. Access, suppliers and overseas processing
Authorised staff and service suppliers receive access only as needed for hosting, security, communications, payment processing or support. We may also disclose information where the law requires or permits it, or to address fraud and protect legal rights. We do not sell personal information for unrelated advertising. Hosting and other suppliers may process information outside Australia. Supplier locations depend on the services being used; contact us for the applicable locations and arrangements. We do not require your self-hosted customer database or server administrator password for ordinary licence verification.
6. Storage, security and retention
We use access controls, staff authentication, encrypted network connections and separate signing responsibilities to protect the service. No internet service can guarantee that information will never be compromised. We keep information for the business, accounting, dispute-resolution and security purposes for which it is needed, and for applicable legal obligations. Deleting an account does not necessarily delete invoices, received-payment records or audit evidence that must be retained. We review requests to remove information and explain any records we need to keep.
7. Your requests and complaints
Contact us to request access to or correction of your information, discuss deletion or raise a privacy concern. Include enough detail to identify the account and request without sending passwords or private keys. We may verify your identity before releasing or changing records. We will consider the request, explain the outcome and discuss any concern about how it was handled. You may also contact the Office of the Australian Information Commissioner, or another regulator with jurisdiction, where applicable.
8. Changes and policy version
Effective 18 October 2026. We will publish material changes here with their effective date. Earlier dated versions remain available for reference.
